- 1 Introduction
-
- 1.1 Mass Appeal
-
- Mass Appeal is an all purpose mailing list manager for IBM PC's and compati-
- bles. With Mass Appeal you can: generate reports, address envelopes, print
- mailing labels, create rotary cards, and even generate interface files (For
- use with most word processors to create form letters).
-
- 1.2 Requirements
-
- Mass Appeal requires 512K of RAM, and works best off a hard disk, although a
- single drive floppy machine can operate the program.
-
- 2 Installation
-
- Mass Appeal comes with batch files that automatically install the program for
- you, whether you plan to use Mass Appeal from a hard disk, or on a floppy based
- machine.
-
- 2.1 Floppy Disk Drive
-
- You will need two formatted diskettes, one labeled Program Disk, and the
- other labeled Data Diskette. Insert your "original" Mass Appeal in drive A:,
- and enter the following from the A> prompt of DOS:
-
- FLOPPY
-
- Follow the directions that appear on the screen.
-
- 2.2 Hard Disk Drive
-
- Change your default drive to A:, and enter HARDDISK from the A> prompt of
- DOS. The program will automatically install on drive C: of your computer.
-
- 3 Execution
-
- 3.1 Floppy Disk Drive
-
- Insert your Program Disk in drive A:, and enter MA. After several seconds,
- you will be asked to insert your data disk and press return. Remove your
- program disk from drive A:, and replace it with your data disk.
-
- 3.2 Hard Disk Drive
-
- From the root directory of drive C:, you only need to enter MA from the C>
- prompt of DOS to execute Mass Appeal. When prompted to insert the data
- diskette, simply press return to continue.
-
- 4 Main Menu
-
- All functions of Mass Appeal, such as adding entries, generating a report, etc.
- are done through a Main Menu. You select an option by pressing the correspond-
- ing highlighted number or letter.

- 4.1 Add Records
-
- By pressing the number one (1), or by pressing the letter A, you are allowed
- to add entries to the active data file. Fill in each field, as needed. Once
- you have completed the entry, you will see several options appear in the
- lower window.

- 4.1.1 More
-
- By pressing the letter M, you are allowed to add more entries to the active
- data file.
-
- 4.1.2 Re-Edit
-
- Pressing the letter E will allow you to make corrections to the record that
- is currently displayed.
-
- 4.1.3 Help
-
- Pressing the letter H will give you several pages of help concerning the
- add routine.
-
- 4.1.4 Return
-
- Once you have made several entries, pressing the letter R will save those
- entries and return you to the main menu. NOTE: Return to the main menu at
- least every ten or fifteen entries to avoid possible data loss.
-
- 4.1.5 *
-
- Once an entry has been made, most of the fields from the information in the
- previous record can be duplicated by simply placing an asterick in the
- field to be duplicated. The only field that can not be pulled from the
- previous entry is the date field.
-
- 4.1.6 Function Keys
-
- The function keys can be set up with commonly used words or phrases to
- speed data entry and reduce errors.
-
- 4.2 Edit/View Entries
-
- By pressing the number two (2) or by pressing the letter E, you are allowed
- to make corrections, or look at entries in the active data file.
-
- 4.2.1 Delete
-
- All records in the active data file are either marked for deletion, or they
- are not. Records marked for deletion do not appear on ANY type of output.
- To change the status of a record, press the letter D, and watch the status
- change, as indicated in the middle window towards the top of the screen.
- Records that are marked for deletion remain in the data base until option
- three (3) from the main menu is executed.

- 4.2.2 Edit
-
- If the record displayed needs corrections, pressing the letter E will allow
- you to make those corrections.
-
- 4.2.3 Find
-
- To Find someone (Determined by the Order Option, discussed below) quickly,
- press the letter F. You will then be asked for the last name, company name
- or zip code (Determined by the Order option). Enter what you wish to find.
-
- 4.2.4 Goto
-
- By pressing the letter G, you are allowed to quickly go to one of three
- places in the file, based on the setting of the Order option.
-
- 4.2.4.1 Top
-
- Pressing the letter T will take you to the very first record, based on
- the setting of the Order option. The same process can be accomplished by
- pressing the Home key on the numeric keypad.
-
- 4.2.4.2 Bottom
-
- Pressing the letter B will take you to the very last record, based on the
- setting of the Order option. The same process can be accomplished by
- pressing the End key on the numeric keypad.
-
- 4.2.4.3 Record#
-
- Pressing the # sign will allow you to directly to a specific record
- number, as log as that record number exists.
-
- 4.2.4.4 Return
-
- Pressing the letter R will return you to the editing options.
-
- 4.2.5 Prev
-
- Prev is an abbreviation for Previous. Pressing the letter P or the PgUp
- key will take you to the previous record, based on the setting of the Order
- option.
-
- 4.2.6 Next
-
- Pressing the letter N or the PgDn key will take you to the next record,
- based on the setting of the Order option.
-
- 4.2.7 Help
-
- Pressing the letter H will give you several pages of help concerning the
- edit routine.
-
- 4.2.8 Specific
-
- Pressing the letter S will allow you only look at records that meet a
- Specific condition. See appendix A for details.

- 4.2.9 Order
-
- The order option effects the Prev, Next, Find, and Goto options. The order
- simply means the order the data file is in when you are in the edit
- routine.
-
- The current Order of the data file can be determined by looking at the
- labels Last Name:, Company: and Zip Code:. Whichever is a different inten-
- sity than the others is the current Order setting.
-
- To change the order, press the letter O, you will then be allowed to select
- what order you would like your data in; last name, company name or zip
- code.
-
- 4.2.10 Count
-
- The Count option displays a count of all records meeting the Specific
- condition. If a Specific condition has not been specified, the Count will
- count all records, excluding those marked for deletion.
-
- 4.2.11 Return
-
- Return will return you to the main menu.
-
- 4.3 Pack The Data File
-
- This option will permanently remove ALL records marked for deletion. Use with
- extreme caution!
-
- 4.4 Generate Some Output
-
- To create reports, mailing labels, etc. you generate some output.
-
- 4.4.1 Generate A Report
-
- To generate a report in one of forty eight report formats available, use
- option one (1). You will then be allowed to define what records should be
- included in the report, and whether the report should be sent to the screen
- or printer, or whether to abandon the report.
-
- 4.4.2 Generate Envelopes
-
- To generate envelopes, one at a time, use this option. As with all other
- output options, you will be able to specify what records should be included
- when printing out envelopes. Envelopes are automatically sent to the
- printer.
-
- 4.4.3 Generate Rotary Cards
-
- To generate rotary cards, use option three (3). You will then be able to
- specify which records should be included when rotary cards are printed. You
- will then be asked where the output should be sent; to the screen, printer,
- or you can abandon the report.

- 4.4.4 Generate Mailing Labels
-
- To generate mailing labels, use this option. As with all other types of
- output, you will be asked which records should be included when generating
- the mailing labels. You will then be asked where the output should be sent;
- to the screen, printer, or you can abandon the labels.

- 4.4.5 Generate An Interface File
-
- An interface file is an ASCII file where each field is enclosed in double
- quotes. You will be asked what records should be included in the interface
- file, and then the name of the file the records should be placed in. The
- order of the fields in the interface file is: salutation, first name, last
- name, company, address 1, address 2, city, state, zip code, home phone,
- work phone, category and comment.

- 4.4.6 Exit Output Options, Return To Main Menu...
-
- Pressing the number six (6) will return you to the main menu.

- 4.5 Import Existing Data
-
- To read in existing data, use the import option. Mass Appeal can read in only
- a comma delimited file. The fields in the comma delimited file must match the
- fields in Mass Appeal. Simply enter the name of the file to be imported and
- the order the fields appear in the file to be imported. Mass Appeal will then
- read in the file.

- 4.6 Change Active Data File
-
- To change to another data file, create another data file or delete an exist-
- ing data file, use this option. Once invoked, you have several options:
-
- 4.6.1 Select-A-File
-
- To change the active data file, press the letter S. Then enter the corre-
- sponding number of the file you wish to be the new active data file.
-
- 4.6.2 Add-A-File
-
- To add a file, press the letter A. Then, enter a seven (7) letter/digit
- name for the file.
-
- 4.6.3 Delete-A-File
-
- This option should be used with EXTREME CAUTION. Once you press the letter
- D and enter the number of the file to delete, you must confirm twice this
- is what you want. WARNING: ALL DATA WILL BE LOST FOREVER!!!!!

- 4.6.4 Return
-
- To return to the main menu simply press the letter R.

- 4.7 Access The Maintenance Routines
-
- The maintenance menus are where the real power and versatility of Mass Appeal
- appear. It is here that you tell Mass Appeal what report format number to use
- when printing a report. You can also define the function keys to a word or
- phrase you desire. You can also...well, enough of that, let's get to it...
-
- 4.7.1 Label Options
-
- 4.7.1.1 Define Or Select A Label
-
- When labels print, Mass Appeal looks to this option to determine how many
- lines are between each label, how many labels across are to be printed, a
- left margin, and numerous other features.
-
- 4.7.1.1.1 Select-A-Label
-
- To have Mass Appeal follow the guide lines of a different label tem-
- plate, press the letter S. You will then be asked for the number Mass
- Appeal should follow next time labels are printed.
-
- 4.7.1.1.2 Add-A-Label
-
- To add a label template, simply press the letter A. You will then be
- asked several questions, like how many lines are between each label, a
- left margin, how many across, and how many spaces are between each
- label if you are printing more than one across.
-
- 4.7.1.1.3 Delete-A-Label
-
- To remove a label from the list, press D, and enter the corresponding
- number of the label to delete.
-
- 4.7.1.1.4 Edit-A-Label
-
- To make adjustments to a label you have already entered, press the
- letter E. You will then be asked each question you were asked when you
- added the label. Make changes as necessary.

- 4.7.1.1.5 Return
-
- To return to the label maintenance menu, press the letter R.
-
- 4.7.1.2 Pause After Certain # Labels
-
- You can tell Mass Appeal to pause after a certain number of labels have
- printer. Simply press the number two (2) and enter the number to stop at.

- 4.7.1.3 Define A Printer String For Labels
-
- To have your labels printed in compressed print, NLQ, or another style,
- simply set up a printer string for your labels.

- 4.7.1.4 Print Multiple Copy End Of Set Markers?
-
- Mass Appeal will print multiple copies of a label. This option asks you
- if you want a marker printed between each set. This will help in finding
- where one set of labels ends and the next set begins.

- 4.7.1.5 Print Bulk Information For Mailing Labels?
-
- Bulk counts can be turned on or off prior to printing labels. Maintaining
- bulk rate information slows the process down some, and should be used
- only when necessary. Enter Y to maintain bulk counts, or N to bypass bulk
- counting.
-
- 4.7.1.6 Last Name Or Company Name First On Labels?
-
- You can tell Mass Appeal whether the persons name should be the first
- line on a label, or whether the company name should be first.
-
- 4.7.1.7 How Many Copies Of Each Label Should Be Printed?
-
- To print multiple copies of a label, simply press the number seven (7)
- and enter the number of copies that should be printed.
-
- 4.7.1.8 Exit Label Maintenance, Return To The Main Menu...
-
- To return to the main menu, simply press the number eight (8).

- 4.7.2 Report Options
-
- 4.7.2.1 Change Report Format
-
- Allows you to select from a total of forty eight (48) different report
- formats. NOTE: Only applies to printed output!
-
- 4.7.2.1.1 Next-Screen
-
- Displays next screen of available report formats.
-
- 4.7.2.1.2 Previous-Screen
-
- Displays previous screen of available report formats.
-
- 4.7.2.1.3 Select-Format
-
- Allows you to select the corresponding number for the desired report
- format.
-
- 4.7.2.1.4 Return
-
- Return you to the report maintenance menu.

- 4.7.2.2 Define A Printer String For Reports
-
- Allows you to define a printer setup string for reports, like bold fac-
- ing, italics, etc...

- 4.7.2.3 Define A Printer Compression String For Reports

- For reports that require compressed print, you must define the printer
- escape sequence that compresses the print on your printer.

- 4.7.2.4 Set Spacing On Printed Output, Single, Double, Etc.

- To select single, double or triple spacing on printed reports, use this
- option and enter the corresponding number.
-
- 4.7.2.5 Exit This Report Maintenance, Return To Main Menu...

- To return to the main menu, simply press five (5).
-
- 4.7.3 Function Key Setup
-
- When in the add routine, you can have commonly used words and phrases
- stored in the function keys to speed data entry and reduce errors. The
- function key macros are only active in the Add routine.

- 4.7.3.1 Define Function Keys
-
- Enter a word or phrase for the corresponding function key. When in the
- add routine, pressing the function key will insert the corresponding word
- or phrase.
-
- 4.7.3.2 Define Alt + Function Keys
-
- Enter a word or phrase for the corresponding function key. When in the
- add routine, pressing the function along with the Alt. key will insert
- the corresponding word or phrase.
-
- 4.7.3.3 Define Ctrl + Function Keys
-
- Enter a word or phrase for the corresponding function key. When in the
- add routine, pressing the function along with the Ctrl. key will insert
- the corresponding word or phrase.

- 4.7.3.4 Define Shift + Function Keys
-
- Enter a word or phrase for the corresponding function key. When in the
- add routine, pressing the function along with the shift key will insert
- the corresponding word or phrase.

- 4.7.3.5 Reset Function Keys To Original Values
-
- Will reset the function keys to their original values.

- 4.7.3.6 Generate A Report Of The Function Key Setup
-
- To obtain a report of the values currently contained in the function
- keys, press number six (6). You may then send the report to the screen or
- printer.

- 4.7.3.7 Exit Function Key Maintenance, Return To Main Menu

- To return to the main menu, press number seven (7).

- 4.7.4 Add Routine Defaults

- To have certain values already filled in when you enter the add routine,
- use this option. You will be able to specify defaults for these fields, and
- have these options:

- Enter the value for the city you would like to have filled in for you
- when you enter the add routine.

- 4.7.4.2 Set Up Default State
-
- Enter the value for the state you would like to have filled in for you
- when you enter the add routine.

- 4.7.4.3 Set Up Default Zip Code

- Enter the value for the zip code you would like to have filled in for you
- when you enter the add routine.

- 4.7.4.4 Set Up Default Category

- Enter the value for the category you would like to have filled in for you
- when you enter the add routine.

- 4.7.4.5 Set Up Default Salutation

- Enter the value for the salutation you would like to have filled in for
- you when you enter the add routine.

- The miscellaneous options are those options that don't exactly fit in any

- 4.7.5.1 Change Monitor Type

- Informs Mass Appeal if you are using a color monitor or not.

- Determines the order ANY output will be sorted on. Your options are last
- name, company name, zip code, or record number.

- 4.7.5.3 Group Deletion Of Records

- Allows you to mark for deletion a group of records meeting a certain
- condition.

- 4.7.5.4 Group Recovery Of Records

- Allows you to un mark for deletion a group of records meeting a certain
- condition.

- 4.7.5.5 Reset All Data File Pointers

- Resets all index file pointers.

- 4.7.5.6 Report Of Previously Saved Criteria

- Generates a report of previously saved criteria.

- 4.7.5.7 Define A Setup String For Envelopes

- Allows you to define a set up string for envelopes, handy for Laser
- printer users.

- Allows you to merge specific records from one file into another. Follows
- the DOS concept of Source and Target files.

- Prints a report of suspected duplicates, based on the method of checking
- you selected. Then, allows you to delete those records easily.

- ShareWare is a marketing concept where you can try out software and see if it
- fits your needs before you purchase the product. Mass Appeal is distributed
- under this marketing strategy. If you use Mass Appeal on a regular basis, or
- find the product useful, you are encouraged to register.

- Registration provides you with several benefits. Foremost is a detailed, com-
- plete manual. The manual you are currently reading is very limited in scope.
- The registered users manual, which is distributed on diskette, is very com-
- plete, and covers all aspects of Mass Appeal.

- Secondly is the notice of updates to the program. Since it was first released
- in the middle of 1987, Mass Appeal has gone through four releases. These
- changes have been made mainly due to user requests. So, keeping up to date is
- important.

- 6 Appendix A

- To define a selection criteria, you simply need to tell Mass Appeal what
- conditions should be met. For example, let's say you want a report of all the
- entries where the State field is Alabama.

- Once you get to the selection criteria screen, you have several choices:

- 6.1 More-Criteria

- Allows you to define additional criteria using AND, OR, AND NOT and OR NOT
- logic. You can narrow your report, labels, etc.. down by each of the fields
- listed in the upper window. Simply enter the corresponding number.

- 6.2 Save-Criteria

- Allows you to save a criteria you have built.
-
- 6.3 Retrieve-Criteria
-
- Allows you to retrieve a previously saved criteria.

- Allows you to place pahentheses around criteria. NOTE: You MUST have an equal
- number of left and right parenthesis.

- 7 Zip Appeal

- Zipp Appeal is another program I have developed to work in conjunction with
- Mass Appeal. If you have a hard disk, and about 3 Meg. of space, you can use
- Zipp Appeal.

- With Zipp Appeal on your hard disk, Mass Appeal automatically senses the pres-
- ence of the zip code data file, and automatically inserts the city and state
- for over 40,000 zip codes! All this for a mere $39.00!
